From a handwritten note or rough request to a clean job sheet and quote
Photograph the customer note, ask an AI assistant to copy it exactly and turn it into a job sheet with the questions you still need to ask. Then price it from your own price list and check every figure before the customer sees it.

The problem
Customers explain jobs by note, sketch, phone call or word of mouth. Turning that into a clear job sheet and a price takes time, and small mistakes in sizes, quantities or deadlines cause costly reprints and disputes.
Before you start
- A phone with a camera
- Your own written price list (material costs and your rates)
- One free AI assistant that can read a photo (check its official site for current free limits)
- A real customer note or sketch to practise on, with the name and phone number covered
Tools you can use
- A free AI assistant that accepts photos
- Your phone camera and notes app or a spreadsheet
- Alternative with no AI: a printed job sheet form you fill in by hand while the customer is with you
Step by step
What AI can and cannot do here
AI can read a photo of a note, copy the text, and arrange it into a job sheet. It cannot know your prices, your materials or what the customer really meant. When it is not sure, it may guess, so you must tell it not to.
Your part
You supply the price list, ask the customer the questions, check every figure, and agree the final job with the customer.
Step 1: Take a clear photo
Put the note or sketch flat, in good light, with the whole page in the picture. Cover the customer name and phone number.
Step 2: Ask for a faithful copy and a job sheet
Look at this photo of a customer note for a job. First, copy the text exactly as written. Do not fix spelling and do not guess. Mark any word you cannot read as [unclear]. Then put the information in a job sheet with these headings: item, size, quantity, material, colours, deadline, special instructions. For anything missing or unclear, list a question I should ask the customer. Do not invent any detail.
Step 3: Check it against the original
Compare the copy with the real note, word by word, especially sizes, quantities, dates and spellings. Fix mistakes.
Step 4: Ask the customer your questions
Use the list of questions. Call, message or ask in person. Add the answers to the job sheet.
Step 5: Draft the quote from your own price list
Here is my price list: [paste your own prices]. Here is the confirmed job sheet: [paste]. Prepare a draft quote that lists each item, quantity, unit price and total, using only the prices in my list. If a price is missing, write “price needed” instead of guessing.
Step 6: Check every figure yourself
Recalculate the totals with a calculator or spreadsheet. AI can make arithmetic mistakes. Only send the quote when the numbers are right.
Working on a phone, with limited data
A clear photo is enough, and you can send it from your phone. If data is costly, use Wi-Fi when you can, and keep each message short. Some customers prefer a call or a face-to-face check before they accept a quote, so confirm the details that way, and keep a paper job ticket or a saved copy of the sheet as your record.
Troubleshooting
If the copy has many [unclear] marks, retake the photo in better light or copy the note out by hand. If the quote has a wrong total, recalculate it yourself and tell the AI which line was wrong.
Value check
Time yourself on three jobs the old way and three with this method. Compare the time and the number of corrections needed. Keep the method only if it really helps.
What good looks like
- Every size, quantity, colour, date and spelling matches the customer note
- Anything unclear is listed as a question for the customer, not guessed
- Every price comes from your own price list
- You confirmed the job sheet with the customer before starting work
Common mistakes
- Letting the AI guess a size, quantity or price
- Uploading the customer name, phone number or ID
- Sending the quote without checking the figures yourself
- Starting work before the customer confirms the job sheet
Privacy and human review
Cover or crop out the customer name, phone number and any ID before you photograph or paste. Add contact details to the job sheet yourself, outside the AI tool. You are responsible for the final quote.
