Turn a repeated task into a reusable AI-assisted template
Choose one task you repeat, give an AI assistant three anonymised examples of it done well, ask for a reusable template and checklist, then time five repeats before deciding to keep it.
- For: Freelancers and independent providers, Professionals, Retailers and walk-in businesses, Small business owners and solopreneurs
- Level: Beginner
- Estimated setup time: 45 to 60 minutes for the first template (an estimate; yours may differ)
This playbook has no recent review date. Check tool details on the official sites before you rely on it.
The problem
Repeating the same writing, quoting, summarising or checking task every week drains time and attention, and the quality varies when you are rushed.
Before you start
- One task you did at least three times last month
- Three examples of that task done well, with private details removed
- An AI assistant you are allowed to use for work
Tools you can use
- A general-purpose AI assistant (check each provider on its official site for current plans and data settings)
- Alternative: saved templates in your email, notes app or spreadsheet, if the task is the same every time
Step by step
Most of the value from AI in daily work comes from a few repeated tasks done well, not from clever one-off tricks. This playbook turns one repeated task into a reusable template.
Step 1: Choose the task
Pick something you do often, that has a recognisable shape, and where a first draft is useful: replies, quotes, summaries, checklists, short reports. Avoid tasks that are different every time.
Step 2: Gather three good examples
Find three real examples you are happy with. Remove names, phone numbers and any private details.
Step 3: Ask for a template and a checklist
I do this task regularly: [describe the task]. Here are 3 anonymised examples of good results: [paste examples]. Write a reusable template and a short checklist so I can produce a similar result quickly. Ask me up to 5 questions first if anything is unclear.
Step 4: Test it on a new example
Use the template on a real task you have not used before. Compare the result with what you would have written yourself and note what is wrong or missing.
Step 5: Improve the prompt
Add the fixes to your prompt, for example “never include prices” or “always end with a question”. Save the prompt and the checklist where you can find them.
Step 6: Time it honestly
Time the task five times with the template and compare with your normal time. Keep it only if it is faster and the quality is at least as good.
What good looks like
- The output matches your examples in structure and tone
- You can use it with only small edits on a fresh example
- Timed over five repeats, it is faster and the quality is the same or better
Common mistakes
- Choosing a task that varies too much to template
- Using examples that are not actually good
- Keeping the template without timing it
- Never updating the prompt when you notice a recurring error
