Turn messy notes into a clear summary and action list with AI
Paste your notes (with private details removed) into an AI assistant and ask for a summary, decisions and action items using only what is in the text. Then check it against the original.
- For: Experienced workers adapting to AI, Freelancers and independent providers, Professionals, Small business owners and solopreneurs
- Level: Beginner
- Estimated setup time: 15 to 30 minutes (an estimate; yours may differ)
This playbook has no recent review date. Check tool details on the official sites before you rely on it.
The problem
Notes, messages and documents pile up, and turning them into clear next steps takes time you do not have.
Before you start
- One set of notes or one document from this week
- An AI assistant you are allowed to use for work
Tools you can use
- A general-purpose AI assistant (check each provider on its official site for current plans, limits and data settings)
- Alternative: a note-taking app with a built-in summary feature, if you already have one
Step by step
This playbook turns rough notes into something you can act on, while keeping you in charge of what is true.
Step 1: Prepare the text
Copy your notes into one place. Remove names, contact details and anything confidential. If the text is very long, work in sections.
Step 2: Ask for a structured summary
Here are my notes: [paste text]. 1) Summarise in 5 bullet points. 2) List the decisions made. 3) List action items with who is responsible and any deadline mentioned. 4) List anything unclear or missing. Use only what is in the text. If something is not stated, write “not stated”.
Step 3: Check against the original
Go through each action item and date and find it in your notes. Mark anything the AI added or left out and correct it.
Step 4: Save your prompt
Keep the version of the prompt that works best for your notes, with a one-line reminder of what to check. Reuse it each week.
Step 5: Measure it honestly
Over three documents, count how many points were missed or invented and how long the whole process took. Keep the routine only if it is faster and the errors are rare and easy to spot.
What good looks like
- Every action item appears in the original
- Owners and deadlines match what was said
- Nothing important is missing
- Anything not stated is marked "not stated"
Common mistakes
- Trusting the summary without checking the source
- Pasting confidential or personal information
- Asking for a summary of a very long document in one go, then missing details
Privacy and human review
Notes and documents may contain private or client information. Remove it first, and do not paste confidential material unless the tool settings and your agreements allow it. Recording or transcribing other people may need their agreement, so check the rules that apply to you.
